A Brief Summary of This Position:

This is a supervisory position responsible for coaching and developing direct reports, directing and supporting customer service to support organizational and divisional goals in regards to servicing customer accounts and driving continuous improvement. Ensuring accurate pricing is provided, orders are entered into the order entry system and scheduled. Effectively communicate with customers and manufacturing representatives to meet customer expectations.

Essential Functions:

  • This position reports to the Manager Customer Administration and has 4-6 direct reports

  • Provide customer service for the products marketed by the ESS Division

  • Coordinate all customer service activities as to the documentation and execution of all contracts to the ESS Division

  • Manage, direct, select, train, motivate and evaluate direct reports. This includes developing and tracking performance priorities, providing feedback and developing action plans.

  • Maintain a complete understanding of the quote and order entry systems and all the process and procedure changes that occur

  • Process quotes and orders on a timely basis and monitor flow through various departments including expediting when required

  • Manage and communicate information in regards to all assigned quotations including the initial review and summary

  • Subject matter expert with respect to quotation and order processing

  • Drive and actively engage in continuous improvement initiatives to deliver cost savings and streamline processes

  • Participate on or lead various divisional/departmental teams continuous improvement teams or projects

  • Expeditiously resolve problems as they occur both internally and externally

  • Maintain solid/professional relationships with support departments

  • Provide training, as needed, to Associate Project Administrators and Project Administrators

  • Determine least cost approach in regards to solving field complaints, working with the field services specialist when required

  • Ability to travel on an occasional basis

Other Important Details about the Role:

The incumbent reports directly to the Manager of Customer Administration, and has direct responsibility for 4-6 employees. The incumbent is part of a regional team responsible for processing specific division related quotations and orders as assigned. Generally, work is assigned to the team based on regional territories. Additionally, individuals or groups of individuals, may be called upon to support another regional team based on workload and needs of the business. The Supervisor will coordinate administrative functions, from initial request for quote through final disposition of the completed order and any subsequent revision. Additional communication with Pricing and Sales will be required to follow-up and negotiate quotes and communicate results. The incumbent will interact with the regional team (s) as well as other cross-functional departments to maintain customer satisfaction and deliver a positive customer experience. Frequent contact with support departments including: Sales, Engineering, Drafting, Marketing, Manufacturing, Production Control, Purchasing, Shipping, Traffic, and Accounting are required as needed to drive performance to customer expectations.

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • Preferred Bachelor’s with 5+ years relevant experience or Associates Degree with 7+ years relevant experience or 9+ years of relevant experience

  • Professional communication, leadership and interpersonal skills with the ability to clearly and concisely present information to Company management

  • Demonstrate strong people skills with proven excellence in oral and written communication, detail orientation and problem solving

  • Self-motivated

  • Excellent analytical and organization skills

  • Problem solving skills

  • Ability to work independently and collaboratively as part of a group

  • Strong Excel experience

Highly Qualified Candidates Will Also Possess These Qualifications:

  • ESS product knowledge

  • Demonstrated leadership developed through previous project leadership or supervisory experience

Working Environment and Physical Efforts:

Work is typically performed in an office setting; however, incumbent may be required to go into the production or shipping/receiving areas. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. The employee is expected to work in a cubicle office environment and utilize proper ergonomic safeguards, such as monitor height and position, keyboard location and height, and proper wrist rests. Environment is fast paced and demanding most of the time. Occasional travel may be required to sites within the U. S. sites. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer. The employee is occasionally required to stand and walk when moving about the office. The employee must occasionally lift and/or move up to 25 pounds in working with large files, binders, and computer equipment. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
