A Brief Summary of This Position:

The Administrative Associate is an Individual Contributor responsible for handling all of the day-to-day demands of providing assistance to the executive team and their employees in all areas of administrative support, completing reports, scheduling meetings, booking travel/venue for meetings, ordering supplies, acting as site liaison for United Way campaigning, handling facilities issues and/or planning space moves, ordering furniture, planning IT moves, and managing data storage.

Essential Functions:

  • Participate in project management duties as assigned

  • Gather data from multiple sources and compile in to reports for management

  • Prepare reports and presentations on a variety of topics in various format utilizing Word, Excel, PowerPoint and Publisher Software

  • Help all employees apply for International VISA’s, passports, and book domestic and international meetings, travel arrangements, etc.

  • Report inappropriate actions by employees or misappropriation of Valmont property by any employees

  • Determine significance and distribution of incoming correspondence and deliver to appropriate personnel

  • File and retrieve confidential company documents, records and reports

  • Update Marlin Communication Board as needed

  • Maintain calendars for the division president, respond to meeting requests, and handle logistics of day to day activities including appointments and out of town travel

  • Coordinate computer, phones, business cards for new hires and transfers

  • Schedule meetings for senior leadership and coordinate joint meetings, conferences, conference calls, travel arrangements, etc.

  • Plan off-site meetings for all departments including providing venue options, contracting with hotels, caterers, suppliers and others

  • Take messages, answer email and send memos and other types of correspondence on behalf of division executive leadership team members

  • Record and type meeting agendas, meeting minutes and Quote reports as needed

  • Create and maintain workflow schedule and metrics reports

  • Identify vendors as needed for various products and events

  • Plan celebrations and coordinate with vendors for meals, venue, hotel, airfare, etc., as needed

  • Plan and book Engineering Symposiums, Quarterly Sales meetings, Executive Leadership Strategy sessions including identify keynote speakers and venue

  • Assist with United Way campaigning for site including holding pledge meetings and following up on employee annual contributions

  • Maintain appropriate professional competencies, certifications, licenses, etc., necessary to perform job

  • Handle IT requirements of Valmont Way Meetings and scheduling KBI owners for presentation

  • Maintain Share Point site, adding content, saving presentations, schedules, etc.

  • Assist with facilities space management including ordering of furniture, coordinating IT & phone delivery

  • Liaison with copier vendor to report issues, schedule cleanings, etc.

  • Orders office supplies as needed

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • High School diploma and 4+ years of work/educational experience or Associates Degree

  • Proficient with Microsoft Suite Products (Word, Excel, Outlook, PowerPoint)

  • Ability to prioritize, organize and balance work needs and deadlines of multiple groups

  • Detail oriented with excellent organizational skills

  • Excellent communication skills, both written and verbal

  • Must be able to interact with employees at all levels of the organization

  • Demonstrates credibility and integrity, sound judgment and the ability to keep confidential information

  • Must be able to work without supervisory oversight and on teams as needed

  • Demonstrates a passion for the business, its products and its customers

  • Ability to deliver results

  • Demonstrates continuous improvement efforts and actively looks for ways to reduce waste

  • Willingness to do the right thing, even in adversity

  • Travel up to 5%

Highly Qualified Candidates Will Also Possess These Qualifications:

  • Three years office administration experience

  • Business Degree is preferred

  • Notary Public certification preferred

  • Experience within a manufacturing company, division or corporate office setting

  • Ability to use Publisher Software effectively and efficiently is preferred

  • AV Set-up coordination and use of various equipment (Polycom, projection equipment, speakers, microphones, etc.)

Working Environment and Physical Efforts:

Work is typically performed in an office setting. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. Environment is fast paced and demanding most of the time. Travel is required up to 5% in this position. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer. The employee is occasionally required to move about the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 15 pounds in working with large files, binders, and computer equipment. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
