A Brief Summary of This Position:

The Administrative Associate is an Individual Contributor responsible for handling all of the day-to-day demands of providing assistance to various teams in all areas of administrative support, completing reports, scheduling meetings, booking travel/venue for meetings, ordering supplies, acting as site liaison for United Way campaigning, handling facilities issues and/or planning space moves, ordering furniture, planning IT moves, and managing data storage. The position is either full time with flexibility, or also can be part time, based on weekly needs. Details on schedule flexibility and expectations will be discussed during the interview process. The position will be a minimum of 24 hours per week.

Essential Functions:

  • This position reports to the Utility Human Resources Manager and has no direct or indirect reports

  • Liaise with copier vendor to report issues, schedule cleanings, etc.

  • Orders office supplies as needed

  • Assist with facilities space management including ordering of furniture, coordinating IT & phone delivery

  • Assist with completing customer quotations, which may include downloading information and preparing for shipment

  • Update bulletin boards and all communications to employees

  • Gather data and prepare reports and presentations on a variety of topics in various format utilizing Word, Excel, PowerPoint and Publisher Software

  • Help all employees apply for International VISA’s, passports, and book domestic and international meetings, travel arrangements, etc.

  • File and retrieve confidential company documents, records and reports

  • Maintain calendars for leadership, respond to meeting requests, and handle logistics of day to day activities including appointments and out of town travel

  • Coordinate onboarding and assimilation including computer, phones, business cards for new hires and transfers

  • Plan off-site meetings for all departments including providing venue options, contracting with hotels, caterers, suppliers and others

  • Take messages, answer email, send memos and other types of correspondence on behalf of division executive leadership team members

  • Record and type meeting agendas, meeting minutes and Quote reports as needed

  • Plan celebrations and coordinate with vendors for meals, venue, hotel, airfare, etc., as needed

  • Plan and book Engineering Symposiums, Quarterly Sales meetings, Executive Leadership Strategy sessions including identify keynote speakers and venue

  • Assist with United Way campaigning for site including holding pledge meetings and following up on employee annual contributions

  • Create and update organizational charts

  • Create and manage Microsoft Outlook email distribution lists and ability to create and publish varied communications and announcements

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • High School diploma and 4+ years of work/educational experience or Associates Degree

  • Proficient with Microsoft Suite Products (Word, Excel, Outlook, PowerPoint)

  • Ability to prioritize, organize and balance work needs and deadlines of multiple groups

  • Detail oriented with excellent organizational and communication skills

  • Must be able to interact with employees at all levels of the organization

  • Travel up to 5% (domestic) – possible overnight stays

Highly Qualified Candidates Will Also Possess These Qualifications:

  • Three years office administration experience

  • Bachelor’s degree in Business

  • Notary Public certification or willingness to obtain

  • Experience within a manufacturing company, division or corporate office setting

  • Ability to use Publisher Software effectively and efficiently

  • AV Set-up coordination and use of various equipment (Polycom, projection equipment, speakers, microphones, etc.)

  • CRM (Client Relationship Management) software usage or exposure

Working Environment and Physical Efforts:

Work is typically performed in an office setting. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. Environment is fast paced and demanding most of the time. Travel is required up to 5% in this position. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer. The employee is occasionally required to move about the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 15 pounds in working with large files, binders, and computer equipment. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
