A Brief Summary of This Position:

The Customer Service Coordinator is an individual contributor role responsible for supporting the Customer Administration group that deal directly with our customers and representatives. The position will be responsible for order entry, order tracking, proposals and project scheduling of all engineering and material orders generated by reanalysis requests. Additional responsibilities include processing engineering books and sealed drawings for tower orders and general filing and E-filing support for the Project Administrators. This position may also provide backup phone coverage, redirecting random phone calls, and overall clerical support.

Essential Functions:

This position is responsible for administrative support for the Customer Administration group, including sales and engineering, including answering phones, preparing correspondence, mailing reports and accurate filing of project documents. Additionally, this position:

  • Communicate with customer, create accurate sales orders for documentation/reanalysis requests

  • Compile required information for structural analysis

  • Quote, prepare and create bills of material with the confines of internal engineering standards for tower extensions and small component orders

  • Process engineering documentation requests to include: printing permit drawings for engineering certification and engineering books for tower shipments

  • Process documentation orders including printing section and component drawings

  • Monitor outside systems and tower sales inbox for POs and distribute to Project Administrators

  • Set up and close reanalysis orders

  • Maintain reanalysis and engineering files

  • Assist with maintenance and tracking of Engineering licenses

  • Participate in activities to continually improve reanalysis processes

  • Incumbent is responsible for the quality of his/her output

  • Consult management immediately if you are being asked to perform work for which you are not trained and/or are not comfortable doing because of potential safety or risk implications

  • Support the company’s safety and ergonomic initiatives by participating in safety and stretching programs and other related activities

  • Perform other duties as assigned to enhance the customer experience.

Other Important Details about the Role:

The incumbent is responsible for special projects as requested. A continual awareness of job requirements and office environment is helpful. Being knowledgeable in all Valmont policies can only help the incumbent with their job duties. The incumbent is frequently called on to sort and prioritize current job requirements and is expected to do so properly without continuous supervision. An ability to prioritize multiple priorities in a fast-paced environment is required.

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • High School diploma and 2+ years of work/educational experience

  • Defines problems, collects data, establishes facts, draws valid conclusions using independent judgment, discretion, and initiative in performing job duties

  • Strong verbal and written communication skills

  • Ability to prioritize workload and keep an organized work area

  • Ability to work in a fast paced environment subject to specific deadlines which must be met with accuracy and attention to detail

  • Ability to work in and be an integral part of a team environment with many different individuals and multiple priorities

  • Acceptable prior performance and attendance record

  • Ability to work with numbers and perform basic arithmetic calculations accurately

Highly Qualified Candidates Will Also Possess These Qualifications:

  • Experience in a customer service or sales or telemarketing position

  • Experience in a manufacturing/technical environment

  • Working knowledge of steel fabrication processes, wireless communication parts, accessories and towers

  • In-depth knowledge of document control and filing systems

Working Environment and Physical Efforts:

Work is typically performed in an office setting. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. Environment is fast paced and demanding most of the time. No travel requirements for this position. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer. The employee is occasionally required to move about the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 15 pounds in working with large files, binders, and computer equipment. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
