A Brief Summary of This Position:

The Purchasing/Payroll Clerk will support the day- to -day activities of the Accounting Department while working closely with all members of the Accounting Team. They will contribute to the business, will lead and own certain deliverables.

Essential Functions:

  • Reports to the site Office Manager

  • Purchasing for all products for the company, analyze prices and quality of suppliers goods to control product costs while ensuring the right quality/quantity of products. Maintain an accurate up to date Purchase Order Log

  • Match vendor packing slips to purchase order to ensure accuracy of items received

  • Update and maintain inventory additions/deletions/price changes

  • Monitor vendor certificate of insurance as needed

  • Process temporary employee requests, update Time Trak add/inactive/update temporary employees

  • Payroll – Run weekly time card reports to distribute to Mangers for review. Make necessary corrections in Time Trak System. Payroll upload

  • Update and Monitor Employee Attendance using Point Policy. Provide reports to Office Manager weekly

  • Sort weekly payroll checks by department

  • Assist employees payroll issues/corrections

  • File employee related documents in employee files

  • Assist in other areas as needed

Other Important Details about the Role:

  • Assist in answering incoming calls, receive incoming visitors

  • Assist in other Accounting areas as needed

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • High School Diploma/GED

  • Authorized to work in the United States

  • Must have a strong customer service orientation and ability to multi-task

  • Strong organizational and time management skills

  • Accuracy and high attention to detail

  • Excellent verbal and written communication skills

  • Ability to problem solve

  • Proficient in Microsoft Word and Excel

  • 2-5 years Purchasing/Payroll/Accounting experience

  • Must be a person of passion and integrity who has the drive to excel and deliver

Highly Qualified Candidates Will Also Possess These Qualifications:

  • Pursuing a degree in Accounting or Finance

  • Bilingual English/Spanish

Working Environment and Physical Efforts:

Work is typically performed in an office setting. The incumbent is regularly required to sit for long periods. No travel requirements for this position, but local errands may be requested from Management. The employee frequently is required to use hands and arms while working in the office with various files and while working on the computer. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrist rests.
